How to choose an email marketing platform

Match your audience, sending volume and automation needs before buying, with documented examples from Mailchimp, Brevo and Kit.

Define the message before the platform

Decide who wants to hear from you and what useful message you can send consistently. A newsletter sent to a whole list, a welcome sequence triggered by signup and an order receipt are different requirements. Write down your first essential workflow before comparing feature lists.

Our starting recommendation is a plan that covers that workflow and your realistic audience. Add complexity when you can name the next process it supports. A platform can organize distribution; it does not supply a reason for people to subscribe or a publishing habit for your business.

Count contacts and messages separately

As an illustration, 500 subscribers receiving four newsletters produce 2,000 sends before welcome emails, resends or other messages. Those are assumed inputs and simple arithmetic, not a vendor allowance or a forecast. Also count contacts stored who will not receive that newsletter. The audience you can email and the audience a platform counts for billing may differ.

Three useful checks in the documentation

Mailchimp's contact documentation counts subscribed, unsubscribed and non-subscribed contacts toward the monthly marketing contact limit; archived contacts do not count. It notes that legacy paid accounts can have different rules. Use the applicable contact categories when comparing plans, and preserve subscription status when managing or moving a list. Brevo's Starter and Standard tiers pair monthly email allowances with stored-contact limits. Its documentation also lists separately billed add-ons. Compare both dimensions for your proposed list and sending pattern; treating Brevo as a choice based only on send volume would miss a constraint. Brevo pricing-plan structure

Kit documents Visual Automations that can begin with a form signup or tag and route subscribers through email sequences and other actions. It lists unlimited Visual Automations on Creator and Creator Pro. Check one complete subscriber journey

Before migrating a real list, use addresses you control to check signup, the intended welcome message, correct audience selection and unsubscribe behavior. Inspect the mobile version and the destination of every important link. These are suggested buying checks; we have not performed them on these products.

If you are replacing an existing platform, first confirm how you will preserve consent records, unsubscribed contacts and necessary fields. A discount is less useful if it requires reconstructing the workflow or creates uncertainty about which messages someone requested.

Your buying checklist

  • Quote your current and plausible next contact and send volumes, including overages.
  • Confirm required automations, collaborators, branding controls and integrations on the chosen plan.
  • Check sending-domain setup, import requirements and your intended content against platform policies.
  • Confirm what can be exported, including subscription status, and how cancellation affects access.

When to wait

If you have no permission-based audience or repeatable message yet, develop those first. If an existing tool already supports your needs, document the missing capability before switching. Choose based on the workflow you can sustain rather than a hoped-for audience size.
