How to choose cloud storage for your photos and files

Choose the job before the storage size

A full phone, a growing photo collection and documents needed on another computer are different problems. Before buying more cloud storage, list what you want to keep, which devices need access and what you would need to recover after a mistake.

Our recommendation is to compare those requirements before choosing a larger allowance. Record your current storage use and likely additions over the next year. Include space already available through subscriptions you pay for. Capacity you will not use is not automatically better value.

Separate synchronization from an independent copy

Synchronization keeps a working library consistent across devices. That convenience can also carry a deletion across them. Apple says deleting an item with iCloud Photos deletes it everywhere you use that service. Apple also says those photos are not duplicated in iCloud Backup and recommends keeping backup copies of the library. For irreplaceable files, our recommendation is an additional copy outside the library's automatic synchronization. Check that you can open it before relying on it. An offline file inside a synchronized folder is not necessarily an independent backup. Recovery windows and version history can help, but check their limits for the specific service.

Check what is actually on your device

A filename in a folder does not prove its contents are stored locally. Microsoft's Windows documentation distinguishes OneDrive files available only online from files downloaded for offline use. Before migrating, use disposable sample files to check upload, access from your other devices and offline availability. These are suggested checks, not tests we have performed. Confirm that the plan fits both your cloud allowance and your device's available space.

Treat family storage and file sharing separately

Google One storage serves Google Drive, Gmail and Google Photos, so measure the account's combined use rather than just its photo library. Google: How existing storage works

Google says family members sharing eligible Google One storage cannot access each other's files without permission. They can see how much shared storage each member uses. Family sharing is unavailable on Google One Lite. A shared bill does not automatically create a shared album or folder. Check plan eligibility and decide separately who needs access to which files. Plan the exit before paying

Google Takeout can create downloadable archives of selected Google data, including photos and documents. Downloading does not delete the originals from Google. An available export does not establish that another service will recreate your albums, permissions or organization. Check a sample in the destination before committing to a move. Before canceling, check when your paid benefits end and what storage allowance will apply afterward. Microsoft's consumer cancellation guidance warns that exceeding the reduced allowance prevents OneDrive uploads, editing and new-file synchronization, and can stop Outlook.com sending and receiving email. When to keep what you have

If your current service has enough capacity, works on your devices and supports a recovery plan you understand, keeping it may be sensible. Compare renewal cost, sharing needs and exit effort before adding another subscription. Buy more space when you can name the capacity or capability you actually need.
