Which digital subscriptions still earn their place?

Start with the bill, then look at the benefits

A storage plan can include AI features. An office subscription can include storage. A household plan can cover several people while reserving certain features for the person who pays. That makes a list of subscription names a poor guide to what you actually need.

The useful question is narrower: which whole payments could you stop without losing something you use? List every active subscription once, using its actual billed amount and billing interval. Do not count the storage, AI and apps inside one bundle as three separate bills.

Fill in your subscription review

Use the worksheet below with a recent receipt and the subscription's renewal screen. An annual bill divided by twelve is a monthly equivalent, not a monthly payment. A promotional bill may also differ from the next renewal: record that upcoming amount in your own notes before making a decision.

For each service, choose a provisional action and record its next renewal date. Keep as is carries the current charge into the planned total. Change plan and Replace / consolidate need the full new billed amount and billing interval. Cancel at renewal assumes no future recurring charge for that row after the change takes effect; it does not assume a refund. Count a replacement bundle once, then mark the old plans it replaces for cancellation.

The worksheet compares annualized ongoing costs for complete entries. It does not calculate the next twelve months of cash payments, account for overlapping subscriptions or execute any change. Check those transition costs separately using the worked example below.

Check whether the overlap is real

Microsoft 365 Family is a useful example: its advertised storage is 1 TB per person for up to six people, not a single 6 TB allowance for one person. Microsoft also says the AI benefits in Family and Premium belong to the subscription owner and cannot be shared. Google One storage is shared across Drive, Gmail and Google Photos. Some memberships also include AI benefits, but Google says availability depends on the plan and billing location, and some benefits are owner-only. Those are examples of where to check, not a recommendation to move to either provider. Storage in one ecosystem may not replace the photo backup, sharing or document workflow you use in another. Our cloud-storage guide walks through that fit question.

• Write the specific job: backing up a phone, editing a document offline or using an AI feature with your own files.
• Name who needs it and on which device. Check household eligibility and owner-only benefits.
• Compare the limits you actually encounter, including storage per person and feature usage limits.
• Try the same ordinary task with the replacement you already have access to. A similar feature name is not proof of an equivalent result.

Compare the next twelve months, including the move

Start from payments you can actually avoid over the next twelve months. Subtract the replacement's payments, any period when both plans must run, and one-time switching costs. Keep the time needed to move files or learn the replacement visible alongside the cash figure. Do not count an annual payment already made as money returned unless the seller confirms a refund.

Here is a hypothetical example, not a quoted product price. Two monthly plans cost $10 and $8, or $216 over twelve months. A replacement costs $12 a month, or $144 over the same period. Keeping both old plans for one overlap month adds $18; a one-time transfer expense adds $30. The replacement would then cost $192 in the first twelve months, a $24 reduction, assuming it meets both needs and the old bills stop after that month. The later annual difference would be $72 if prices and needs stayed unchanged.

If a prepaid plan has months left and no refund, replacing it today can increase near-term spending. Schedule the change around its actual expiry unless an earlier move has a clear benefit. A cheaper recurring total and money saved this month are different results.

Choose a smaller plan before a bigger bundle

A bundle earns its place when its useful included features replace bills you would otherwise keep paying. Features you would not have bought have no avoided cost. Check the free or lower tier first, then compare the bundle's full renewal cost with the separate plans you really need.

Three outcomes can all be sensible: keep a storage plan and use the free version of an occasional AI tool; keep two services because they solve different jobs well; or consolidate when the replacement demonstrably covers the required jobs and users. The aim is a better arrangement, not the smallest possible number of subscriptions.

Prepare the exit before you cancel

Check the resulting storage limit before reducing a plan. Google says reaching or exceeding the no-charge quota after a paid plan ends can stop Gmail sending and receiving, Drive uploads and Photos backups. Download or move what you need and verify the copies before the old allowance disappears. Google's cancellation and storage policy

Microsoft likewise documents lower storage allowances after cancellation, including for people sharing a Family or Premium plan. An over-quota account can lose upload or email functionality. Save the cancellation confirmation, the date access ends and any promised refund. Then check the next statement. A decision in this worksheet does not change a subscription, cancel a payment or confirm a refund.

Leave the review with one specific next action

For each plan, write the next step and date: check whether a family member has access, test one export, reduce storage below the target allowance, or turn off renewal after verifying what happens. Revisit the list before a renewal or when a provider materially changes its price or benefits. Buying a new bundle is only one possible outcome.
